SUMMARY
The Human Resources Coordinator directly reports to the Director of HR & Payroll Solutions, and will be responsible for providing high quality support to the People Solutions team which consists of Human Resources, Payroll and Engagement. In addition this position is responsible for providing HR Coordinator services to corresponding external clients. The Human Resources Coordinator will serve as a conduit between team members related to communication, materials, invoicing, and training/workshop details.
Requirements
ESSENTIAL FUNCTIONS
Professional Employment Organization HR Duties
- Responsible for the recruiting and onboarding/offboarding of contracted employees through the professional employer organization (PEO) program, as well as processing human resources and payroll paperwork such as new hire forms, timesheets, contact, and information changes.
- Responsible for collecting the necessary information for teacher and administrative annual contracts and ensuring contracts are completed and signed.
- Responsible for assisting contracted employees with requests for forms, and directing their questions to the appropriate resources.
Frontline Central Support
- Responsible for Frontline contracts and invoicing.
- Responsible for providing tech support and or providing resources as requested by clients.
- Responsible for attending monthly Frontline calls, assisting with promoting the program, and organizing the bi-monthly newsletter.
Client Support
- Responsible for the creation of service contracts using current Agency tools; following up with and assisting clients through service contracting process, as well as support service contracts if needed.
- Process and track project invoicing and payments using current Agency tools (event invoicing and payments, service contracts invoicing and payments, products invoicing, delivery, and payments).
- Engage with clients and contracted employees in a positive manner that represents, self, team and Agency.
Administrative Support
- Responsible for the creation, coordination and delivery of social media, newsletter, e-ads, and web advertising platforms with the support of the Marketing.
- Responsible for coordinating workshops, meetings and conferences, including:
+ If applicable, communicating and contracting with outside and/or speakers and consultants.
+ Securing an onsite conference room or outside vendor space.
+ Creating / updating advertisement tools; coordinate advertising schedules.
+ Creating and monitoring registration platforms; supporting and assisting customer registrations.
+ If applicable, coordinating the order and delivery of resources, materials, catering and supplies for workshops, meetings, and conferences.
+ Conference, workshop, and meeting room set ups and takedowns.
+ Navigate and trouble-shoot technology equipment and presentation platforms as needed.
+ Coordinating with other CESA 6 departments to ensure successful events as needed.
- Responsible for assisting with the organization of the HR Network including but not limited to meeting agendas and minutes.
- Responsible for compiling and distributing updates to the External HR team regarding client feedback.
- Collaborate effectively with other Coordinators and Support Staff to meet the needs of the Agency.
- Order supplies, professional materials and professional resources for Human Resources and Payroll External staff and customers as directed and/or needed.
- Perform other duties as assigned.
POSITION QUALIFICATIONS
Experience, Education and/or Licensure
- Administrative or HR Assistant within an office environment experience.
- Associate degree in a Business, HR, Finance or related field preferred.
Required Skills and Abilities

- Ability to use technology and software to support assigned projects efficiently (including Google Drive, Microsoft Office Programs, Shopify, Experience App, HubSpot, PandaDoc, and Canva etc.).
- Plan, organize and prioritize work.
- Advanced computer skills, including email, word processing and virtual meeting scheduling, coordination, and support.
- Working knowledge of Microsoft Office programs and Google platform applications.
- Ability to work independently as well as collaborate with diverse work teams.

Physical Demands
- While performing the duties of this position, the employee is occasionally required to stand, walk, sit, use hands to finger, handle or feel, and reach with hands and arms.

- The employee may lift or move office products and supplies, up to 25 pounds.
Schedule: 261 Days (12 Months)
Hybrid: Up to four days remote, and up to one day in-office, subject to change based on Agency and Team needs.
