Summary Job Description

Department: Finance and Operations

Supervised by: Director Finance and Operations

Supervises: Merchandisers, Courtyard Managers/Volunteers

Status: Full-time, salaried, exempt

Schedule: 30-40 hours per week

Location: Primarily on-site at The Courtyard located in Hinsdale

The Courtyard Store Manager is responsible for day-to-day retail operations, including management of volunteers, finances, and supporting technologies for The Courtyard, a volunteer driven donation/consignment shop supporting Wellness House.

RESPONSIBILITIES

Retail Operations(35%)

  1. Ensure the delivery of high-quality customer service
  1. Manage daily operation including sales, volunteer staffing, opening and closing, balancing sales records, cash, and all other business operations
  1. Daily processing of online sales and maintenance of Shopify Ecommerce website
  1. Utilize computer systems to process incoming and outgoing inventory items
  1. Maintain accurate customer and inventory records
  1. Monitor inventory of office and sales supplies and order as necessary
  1. Problem-solve day-to-day issues and implement solutions
  1. Manage and train volunteers and paid personnel to perform sales, office, backroom and merchandising functions
  1. Coordinate shop operations with merchandise intake as necessary to ensure merchandise is available for sale
  1. Act as liaison with the landlord, outside vendors or Wellness House fo facility related issues
  1. Schedule cleaning services to maintain a clean and welcoming environment including carpet cleaning, window washing and janitorial services
  1. Manage key inventory and access to the Shop
  1. Administer records retention in alignment with Wellness House policies and procedures.

Volunteer Management (20%)

  1. Develop strategies to recruit, manage, steward, and recognize volunteers for the Courtyard
  1. Coordinate scheduling of 40+ volunteers ensuring adequate coverage of shifts
  1. Match volunteers with complementary skillsets to ensure high-quality customer service and volunteer satisfaction
  1. Lead all volunteer staff in the delivery of high-quality customer service
  1. Maintain volunteer software to ensure all volunteer hours are recorded
  1. Onboard and train new volunteers in accordance with WH procedures and Courtyard policies and procedures
  1. Maintain manuals for key operational volunteers and independent contractors
  1. Maintain regular communication with volunteers via email and in-store communications.
  1. Staff the Courtyard Advisory Board including meeting schedules, agendas, and reports

Financial Management (20%)

  1. Assist with development of annual budget and execute a budget plan in collaboration with Wellness House for each fiscal year.
  1. Prepare monthly financial reports as required to produce financial statements for The Courtyard, including reconciliations of sales reports with incoming receipts.
  1. Monitor budget vs actual and communicate financial performance vs goal as needed.
  1. Maintain knowledge or all relevant systems and data sources including credit card processors, consignment inventory database and POS system, accounts payable platforms, and IL Dept of Revenue regarding sales tax remittances.
  1. Oversee consignor payment system and engage in troubleshooting as needed to maintain consignor satisfaction
  1. Review and approve invoices for payment in the accounts payable platform.
  1. Analyze cost and sales data as needed to inform decision making.
  1. Strengthen the connection between Wellness House and the Courtyard with customers, consignors, and volunteers

Information Technology (20%)

  1. Maintain comprehensive knowledge of the store’s consignment database and point of sale systems.
  1. Act as a primary liaison with the IT contractor to address issues with technology equipment and software applications
  1. Act as primary liaison with the consignment database software provider regarding use of the software.
  1. Overse transitions to new software applications as necessary to maintain efficient and effective supporting technologies.

Requirements

Education

Bachelor's degree is generally required or an equivalent combination of relevant education and/or experience.

Job Experience

Minimum of three years of professional experience in retail management with direct reports. Minimum of three years of volunteer management experience preferred. Experience with consignment and\\or POS software highly desirable.

Special Knowledge & Skills

Advanced knowledge of the retail and consignment sectors, specifically related to regional geographic area, as well as working knowledge of the primary aspects/objectives of the position such as retail and volunteer management.. Knowledge and aptitude working with Microsoft Office. Demonstrated analytical, creative, and motivational skills in previous work and/or volunteer settings.
